Job Description:
Open Monday through Friday, 8 am – 5 pm, Mail Operations receives and distributes all incoming US mail, determines postage of all daily outgoing mail and coordinates all outgoing bulk mail outs.
Primary duties and responsibilities:
Sort all incoming US mail to appropriate department mail slots for employees,
Receive, route and distribute letters and packages for students through the QTrak system, Determine and charge appropriate postage to outgoing US mail,
Charge appropriate department,
Add new prospects to mailing list,
Correct address changes to mailing list,
Operate postage machine, folder, envelope printer, and inst-max as needed to do mail outs.
Secondary duties and responsibilities:
Stuff envelopes,
Vacuum and general cleaning.

Learning Objectives:
The student will:
Maintain and present a professional attitude while assisting visitors with mail services,
Operate all department equipment: computer stations, copy machines, address printers, folding machine, inserting machine and postage meter in order to be of assistance to faculty, staff, and students in the preparation of mail jobs,
Utilize Microsoft Word, Excel, and Razer's Edge computer programs, with an emphasis on accuracy, to prepare faculty-and-staff-requested mail out information,
Distribute all incoming mail: postcards, letters, large envelopes, and small packages into appropriate mail slots,
Process mail into proper classification and rates for mailing,
Complete bulk mailing jobs to meet the expected deadlines of mailing,
Know preventive and maintenance cleaning for all equipment and department work area,
Answer the phone in a professional manner: clear voice, appropriate grammar, positive and helpful manner, and take appropriate messages or provide assistance when required,
Recognize the importance of strong ethics to ensure the confidentiality of constituent records and department information,
Understand the importance of a positive attitude, spirit of cooperation, and strong customer-first approach in meeting the needs of the College and the department.
