Keeter Center Administrative/Catering/Sales Office

Position Title:

Student Assistant

Required Schedule Flexibility

(1-5 scale with 5 as most flexible): 5

Job Description:

Administrative/Sales and Catering offices are open 8 am to 6 pm Monday through Friday, which somewhat limits flexibility in scheduling. All positions regularly deal with students, staff, clients and people from on and off campus, both in person and via telephone.  The ability to maintain confidentiality at all times, both in and out of the office, is a significant requirement for student workers.

Primary duties and responsibilities:

Handle daily activity in each area,
Welcome potential clients & handle considerable phone traffic,
Campus trips - deliver deposits to cashier, take outgoing mail, pick up and sort incoming mail, pick up supplies from warehouse, etc.,
Filing office documents,
Prepare new folders for each catered event as booked,
Prepare and update daily event signs,
Prepare student packets and information each semester,
Maintain supply of filled sales kits.

Secondary duties and responsibilities:

Assist department managers with other office-related duties,
Give tours to potential clients.

Basic Qualifications:

Must maintain confidentiality at all times,
Ability to communicate with people, both in person and via telephone,
Dependability, promptness, and professionalism,
Ability to maintain a service-oriented attitude, even in a fast-paced setting,
Attention to detail, especially when entering data via computer,
Ability to stand for extended periods of time (certain offices only).

Desirable Qualifications:

Pleasant and courteous personality,
Ability to work with others,
Patience,
Good computer skills.

Additional Remarks

Maintaining the confidentiality of student, staff and client records is a primary responsibility for the Administrative/Catering/Sales Office.

Learning Objectives:

The student will:
Develop the ability to maintain student and client confidentiality at all times,
Learn layout and history of the Keeter Center and be able to give tours,
Develop customer service attitude...go above and beyond to help guests and potential clients,
Learn professional telephone and office etiquette, take basic information and give to Event Coordinator, keeping conversations short and to the point,
Be proficient in Microsoft Word, Excel, and general knowledge of Caterease and Opera,
Learn Image Now program and steps of scanning invoices with attention to detail,
Learn how to run reports needed from Kronos and enter student time totals weekly on master excel sheet,
Audit and maintain standard in MOD bank,
Verify night auditor's work in night audit packet,
Be proficient in general office duties such as filing, preparing new folders, maintaining required number of sales and student packets, answering the phone, sorting mail, maintaining supplies, etc.,
Be responsible for campus trips - deliver deposits to cashier, take outgoing mail, pick up incoming mail, pick up supplies from warehouse, etc.,
Prepare and update daily event signs with accuracy,
Ability to communicate with people, both in person and via telephone,
Develop dependability, promptness, and professionalism,
Pay attention to detail, especially when entering data via computer,
Develop good interpersonal skills,
Develop the ability to work independently, as well as with a team,
Schedule schools for community-type events held during Christmas season,
Learn how to set up and work trade show booth for wedding shows and event planner's trade shows.
